Charges:

The Communications Committee is to clearly define and create the methods for effective communication both internally among members of the Association and externally with parties that are of fundamental interest to our overall vision and mission.  The key activities of the Committee will be to communicate and promote the Association in an effort to maintain visibility, credibility, accountability and growth. 

The Committee will be chaired by two (2) individuals and will consist of the following subcommittees:

    Website Coordinator and Advisor
     Audiovisual/IT Coordinator
     Beacon Editor/Coordinator

 
Co-Chairs:

The Communications Committee Co-chairs will:

  • Coordinate with The BEACON Editor for publishing of the Association's publication;
  • Oversee and work closely with the Website Coordinator on the Association's website and Audiovisual/IT Coordinator;
  • Coordinate public relations activities;
  • Assist with the design and arrange for publishing of informational brochures;
  • Develop press releases as required;
  • Work with Conference Committee to ensure that all audiovisual needs are met for the annual conference and/or any other educational forum; and
  • Maintain on the Association's website the Bylaws, manuals and Strategic Plan

Website Coordinator and Advisor:

Website Coordinator and Advisor will be responsible for the following tasks related to the MAACM website (maacm.org):

  • Perform edits, modifications and enhancements to the MAACM website.
  • Create events for mid-year and annual conferences.
  • Update new vendors on the website as well all material received from the Conference Committee.
  • Send Listserv messages as needed.
  • Work with Treasurer on linkage with membership database issues.

Audiovisual/IT Coordinator:

A Coordinator will be will be responsible for the following tasks:

  • Soliciting assistance for up to four (4) assistants for each conference.  Need at least one (1) person available on-site to setup and assist each speaker.
  • Mid-Year Audio Visual:  Work with Conference Committee to ensure that all audiovisual needs are met for the annual conference and/or any other educational.  Contact hotel or AV Company to ensure equipment is available and at the price negotiated.
  • Annual Conference Audio Visual:  Work with Conference Committee to ensure that all audiovisual needs are met for the annual conference and/or any other educational.  Create AV Excel grid sheet to assist with coordination of what equipment is needed for each session.  Contact hotel or AV Company to ensure equipment is available and at the price negotiated.  Recruit at least three (3) full-time IT related individuals on-site to setup and assist each speaker for four (4) days.  Locate and arrange for delivery of AV equipment from various court's to help reduce overall AV cost.  Power Point Presentation During Vendor Lunch:  Create two (2) power point presentations that have automatic advances and manual advances slides for participating conference vendors and sponsors' at annual conference.
  • Signage:  Create roughly 50 educational and vendor sponsored events signage for annual conference.

  • Coordinate with the Editor of The BEACON and photographers for the following pictures to be taken at the annual conference:

    Opening remarks from guest speaker i.e., local mayor or Chief Judge
    Presidents opening remarks (welcome)
    Picture of attendees on first day at plenary
    Plenary and Workshop presenters and host reporters
    Registration desk staff
    Pictures of special events i.e., dinner dance, special events
    Candid classroom pictures
    Presentation of Neufeld award and Board awards
    Swearing in of new officers
    Picture of every vendor
    MAACM prizewinners
    Closing ceremony

Beacon Editor:

The Beacon Sub-Committee will include the Beacon Editor, Beacon Associate Editor, and an Assistant Editor from each member state and one or two photographers.

The Beacon will continue to be published three (3) times per year.  However, the issue release dates will change. The three (3) issues will be as follows:

  • Winter (sent out prior to the end of December), which will cover what occurred at the Annual Conference;
  • Spring (sent out by the end of April), which will promote the Mid-Year Conference, provide information about the upcoming Annual Conference, including a tentative agenda and information about the Plenary speakers and include preliminary Committee Reports; and
  • Fall (sent out by the end of August), which will cover the Mid-Year Conference and end-of-year Committee Reports.  This issue can also include an article or two about the upcoming Annual Conference, such as (1) some recommended restaurants, shopping outlets and things to do in the area and (2) some of the planned activities.

The Beacon Associate Editor will be responsible for the following tasks:

  • Coordinate all articles, pictures, vendor ads, and general articles for each issue.
  • Coordinate layout with Print Shop (ACS Communications).
  • Review at least 3 proofs before printing final copies.
  • Acquire labels from member database, and send to printer (ACS).
  • Send inserts, if needed, to printer for printing and insertion.

The Assistant Editors will be responsible for:

  • Working with Host Reporters and Committee Reports.
  • Gathering articles from Host Reporters (start 30-45 days prior to the deadline) and do the editing.
  • Submitting articles to the Beacon Coordinator.
  • Write fill-in articles, for "What's happening in _____" section.

The Photographers will be responsible for:

  • Providing a unique picture for each issue's front cover (selected by the Beacon Coordinator) and also taking photos at each Conference event for insertion into the Beacon, and possibly on the website.
